1. Who we are and what this covers

GimmePuffin is a booking, payments and client-management platform for independent golf instructors, referred to here as coaches. This policy covers coaches who create an account, students or clients who book or use a coach's page or student portal, and visitors to gimmepuffin.com.

For information a coach keeps about their own students, including bookings, notes, messages, files, waivers and balances, the coach decides why and how it is used, and GimmePuffin handles it on the coach's behalf. For coach account and site-visitor data, GimmePuffin decides why and how it is used.

2. Information we collect

Coach account information

We collect your name, email, business profile and booking-page details, lesson types, packages, availability, payout status, and plan and billing status.

Student and client information

We collect names, email addresses, optional phone numbers, booking history, lesson and package credits, messages with a coach, files shared by the coach, signed waivers and policy acknowledgements.

Payment information

Payments are handled by Stripe. We do not see or store full card numbers. We keep Stripe customer, subscription and payment identifiers, amounts, invoice records, and the card brand, last four digits and expiry shown in billing.

Usage, technical and contact information

We collect pages visited, device and browser type, approximate location from an IP address, and log data through cookies and Google Analytics, as described in section 5. We also collect messages you send through our contact form or by email.

3. How we use information

• Provide and secure bookings, payments, package credits, reminders, sign-in codes and notifications.
• Process payments, refunds and payouts.
• Send service emails, including booking confirmations, receipts, new-message nudges and sign-in codes.
• Where allowed, send product updates that you can opt out of.
• Prevent fraud and abuse, understand and improve site use, and meet legal obligations.

We do not sell personal information, and we do not use student data for advertising.

4. Who we share information with

Service providers acting for us include Stripe for payments and Stripe Connect payouts; Supabase for database, file storage and authentication services; our hosting provider; our transactional email provider; and Google for Analytics.

A student's information is visible to the coach they book with. We may also disclose information when required by law, to protect rights and safety, or as part of a merger or sale of the business. We will give notice of a merger or sale as appropriate.

5. Cookies and analytics

We use essential cookies and local storage to keep you signed in and remember preferences. We use Google Analytics to measure pages viewed, traffic sources, device information and approximate location. Google Analytics sets cookies and sends usage data to Google.

We do not use Analytics data to identify individual students, and we do not send student names, emails or booking details to Google Analytics. You can block cookies in your browser or use Google's Analytics opt-out browser add-on. See our Cookie Policy.

6. Retention

Coach account data is kept while the account is active and for a limited period afterward for legal, tax and dispute purposes. Student records are kept as long as the coach keeps them or the coach's account remains open. Payment and invoice records are kept as required by law.

Coaches can archive or delete students and files in the app. You can also ask us to delete your data as described in section 8.

7. Security

We use encryption in transit and access controls, and payments are handled by Stripe. No system is perfectly secure. Tell us promptly at support@gimmepuffin.com if you suspect a security problem.

8. Your choices and rights

You can access, correct, export or delete your data, and opt out of non-essential email. Students should usually contact their coach first. You can also email support@gimmepuffin.com, and we will respond within 30 days.

Depending on where you live, including California or the EU and UK, you may have additional rights such as objecting to or restricting processing. We honor those rights as required by law.

We do not knowingly collect data from children under 13, and the service is not directed to them. A parent may book and attend on behalf of a minor student.

9. International transfers

Our providers may process data in the United States and other countries.

10. Changes to this policy

If we make material changes, we will update the date above and notify coaches by email or in the app.
